Assets & tasks / PRACTICAL CHECK
How do you hand off creative work without sharing an account?
Define the recipient’s next action, then send only the authorized files and decisions needed for it through an external transfer route. Confirm the received version before work begins and review the returned export separately. A downloaded asset does not transfer the creator’s account, library, credits or release approval.
Define the recipient's next action
Imagine an illustrative homeware brand asking a contractor to finish a generated lamp image. The contractor needs the approved output and exact caption, not the owner's CartVisual password. Another colleague who must make a new scene needs authorized product references and a brief. Treating both requests as share everything exposes information while leaving the actual task unclear.
Write the expected next action in one sentence: comment on composition, edit the approved file, generate a candidate or publish an approved asset. Identify the owner of that action. Keep billing details, unrelated campaigns and private support evidence outside the package unless they are specifically necessary and authorized.
Choose one immediate deliverable: a review comment, an edited export, a new generated candidate or a published placement. If the request says only “take over the campaign,” resolve those stages first. For example, a layout editor may not need the original real-person reference at all, while a new creator cannot reconstruct an approved product from the final crop alone. Keep the private-result versus delivery-link distinction with that decision.
Build a package that preserves the review context
For editing, provide the actual downloaded file, dimensions, selected version, approved product facts and any elements that must remain unchanged. Include a thumbnail when filenames are similar. For new creation, add only the references whose use by that collaborator is permitted and explain which are product evidence, model references or visual direction.
Keep permissions and restrictions in a concise external note. State whether the file is a candidate or release-approved, which destination is intended and who must review the next result. A collaborator should not need to infer these decisions from a task screenshot or an attractive mockup. Do not include credentials in the handoff document.
Give each transferred file an unambiguous version label and record its dimensions, purpose and permitted edits. A file hash can help confirm identical bytes when your team has a way to calculate it; it does not prove content accuracy or rights. Keep confidential permission documents in the appropriate private record rather than bundling them into every creative download.
Choose the package by role
| Recipient role | Minimum useful package | Approval still required |
|---|---|---|
| Reviewer | Candidate image, brief and specific question | A recorded decision on the reviewed version |
| External editor | Approved source file, edit boundaries and destination | Review of the actual finished export |
| New creator | Authorized references, facts and independent account access | New output accuracy and permitted use |
| Publisher | Final file, approved caption and placement | Confirmation of the actual publication |
| Support helper | Relevant private diagnostic evidence | Separate permission for any public example |
This table describes an external collaboration practice. It does not imply an CartVisual team workspace, cross-account asset transfer or shared model library. If the recipient needs to create again, they must use their own appropriate account and manually supplied authorized inputs.
Transfer through a route the team can control
Download the selected completed result from My assets or the relevant task view while signed into the correct account. Check the actual saved file before placing it in the external transfer system. Current private result routes require authentication and resolve within the requesting account; copying a working result URL does not grant the recipient that account context.
Use the transfer system’s actual recipient and access settings, then ask the intended recipient to confirm the filenames, versions and ability to open the files. If access fails, identify whether the failure concerns the external share or an account-protected result address. Do not diagnose it by exchanging a password or browser session. This is a proposed handoff method, not an executed transfer test or an CartVisual sharing feature.
Keep a single current edit brief with the package. Link any selected cast to its approved reference version; do not assume a matching display name identifies the same source on another account.
Confirm receipt without implying approval
Fictional lamp handoff, not a customer case: Editor A receives the accepted image and approved headline to add exact typography. Creator B is separately asked for a new room scene and receives authorized product views, facts and the scene brief for use in an appropriate independent account. Publisher C receives neither production task by default; C receives the final approved export, caption and named destination after review.
If Editor A returns a file with a newly invented wattage claim, successful receipt does not authorize that change. Hold the export, remove or verify the claim and review the revised file. If Creator B cannot use the original personal reference, do not transfer it anyway to imitate continuity; resolve the permitted source or revise the brief. If Publisher C receives a candidate rather than the approved final version, stop the release until the version is identified.
Record the returned filename, changes, reviewer and actual release status. For moving footage, use the clip-to-editor handoff for timing and audio context. Adjust external access at the end of the engagement according to the team’s process; doing so does not recall already downloaded copies or grant an automatic deletion receipt.
Handoff receipt and approval record
Use this as an external working record for one actual handoff or placement. Enter real observations and leave unresolved cells pending; no successful transfer or publication is prefilled.
| Record | Actual value or observation |
|---|---|
| Recipient and immediate next action | |
| Actual supplied filenames, versions and optional file hashes | |
| Product/reference permissions and private evidence location | |
| Allowed edits, prohibited factual changes and intended destination | |
| External delivery route and intended recipient access | |
| Recipient’s actual open/receipt confirmation | |
| Returned export, observed changes and review decision | |
| Publication owner, actual placement or remaining hold |
Sources and further reading
Recorded source-review dates are listed individually below. An undated source does not inherit the article’s publication date. Software and platform rules can change; check the current original before acting.
Frequently asked questions
Does this workflow share my CartVisual assets automatically with another account?
No. It describes manually transferring authorized files and context through an external route. Do not assume shared workspaces or account-to-account synchronization.
Should an editor receive my login details?
Give the editor the files and instructions needed for the task. Use separate account access when they need new creation rather than sending your credentials.
Does receiving the final file authorize publication?
No. State the approval status and destination explicitly, then review any edited export and its accompanying copy before release.
What if the recipient needs another generation?
Provide only authorized source files and a clear brief for an appropriate independent account. Downloaded creative does not transfer saved model libraries, credits or account access; review the new result independently.
