Packaging studio / FIELD GUIDE
Which batch numbers and dates should appear in a packaging mockup?
Treat batch codes and dates as variable production information, not decorative copy. A concept may reserve their location, but the final values must come from the authorized product and production records. Keep placeholders unmistakable in the handoff.
Assign a meaning and an owner to each field
Separate the fixed artwork from changing production information. Ask the responsible owner what a field means, who supplies its value and how the supplier applies it. A batch identifier, serial identifier, production date, best-before date and expiration date are not interchangeable decorative strings.
The official GS1 Application Identifier dataset distinguishes batch/lot, serial, best-before and expiration attributes. That distinction does not require every package to carry them, supply a real value, or choose a coding standard for your product. Obtain applicable category and market requirements from the responsible experts.
Make the concept unmistakably nonproduction
Fictional carton exercise: fixed artwork A07 reserves a side-panel area. A concept copy uses “LOT: [PRODUCTION VALUE]” and “DATE TYPE/VALUE: [OWNER TO CONFIRM]”, together with a visible “CONCEPT — NOT FOR PRODUCTION” note. These invented markers are not real batch/date data or a ready-to-print coding instruction.
| Field in the exercise | What is unresolved | Who must resolve it |
|---|---|---|
| LOT: [PRODUCTION VALUE] | Actual run identifier and approved application | Production-data owner |
| DATE TYPE/VALUE: [OWNER TO CONFIRM] | Whether a date belongs here and its meaning/value | Responsible product/compliance and production owners |
| Reserved coding area | Actual size, contrast and application method | Receiving supplier |
| Fixed product name in A07 | Approved identity, not a changing batch value | Brand/product owner |
Do not replace the marker with a plausible future expiry date to make a render convincing. Do not encode sample text into a barcode and describe it as scan-approved. Check every front, back, side and marketing export for leftover realistic-looking sample values.
Track artwork and production data separately
Record the fixed-art revision and the authorized variable-data record together. In this fictional example, A07 plus data record V04 is a different release pair from A07 plus V03, even when the fixed artwork is unchanged. Keep the source of each actual field with that pair.
If the production owner supplies a batch but leaves the date’s meaning unresolved, the date is not approved. If the source means best-before, do not relabel it expiry or production date. If a value changes length or placement, ask the supplier to review the affected space and legibility rather than assuming an earlier layout approval still covers it.
Close the physical coding decision outside the mockup
Have the supplier check the actual artwork/data pair and the agreed application process. Review a relevant production sample for placement, readable characters and required operational checks. A generated raster code, a clean preview or a matching file name cannot establish printer compatibility, handling resistance or successful scanning.
Keep nonproduction concepts distinct from released artwork, and do not publish fictional codes as actual pack evidence. Use panel reconciliation for fixed copy and sample approval records for the physical evidence scope. No coding-machine test, barcode scan, shelf-life determination or regulatory approval was performed here.

Recorded source-review dates are listed individually below. An undated source does not inherit the article’s publication date. Software and platform rules can change; check the current original before acting.

Frequently asked questions
Can AI invent a realistic expiry date for the final artwork?
No. Use only the authorized applicable value and meaning. Keep concepts clearly nonproduction until the responsible owners resolve them.
Does changing only the data record preserve every earlier approval?
Check the actual artwork/data pair and any affected length, placement or process. Do not silently carry a prior approval to a changed field.
Does this guide specify mandatory label fields or barcode formats?
No. It distinguishes field meanings and source ownership; the applicable product, market and coding requirements need their own qualified review.
