Which personalized-product proof did the buyer actually approve?

Use an explicit versioned proof rather than an informal screenshot conversation. The approved text and its placement belong to one product variant and one proof version. A later regenerated preview must not silently replace what the buyer reviewed.

01 / WHICH PERSONALIZED-PRODUCT PROOF DID THE BUYER ACTUALLY APPROVE?

Identify what the proof asks the buyer to review

For a personalized tag, a proof can show the proposed spelling and placement. It does not automatically establish engraving depth, finish or physical color. State the proof’s purpose and the actual business approval process before interpreting an informal “looks good” message.

Keep real buyer content in the authorized private order workflow. The following example uses invented names and IDs; it is an editorial record-keeping method, not a legal determination of acceptance or an CartVisual proof-management feature.

02 / WHICH PERSONALIZED-PRODUCT PROOF DID THE BUYER ACTUALLY APPROVE?

A change request is not the new version’s approval

Fictional order D17 selects one brass oval tag. Proof P02 shows “Míra · 14 May.” The buyer then requests “15 May.” Prepare P03 with that exact revision and the same selected tag. Do not overwrite P02, remove the accent, or switch to the steel round variant shown in a later marketing concept.

Production artworkNamed artwork linked to the actually approved proofMust preserve its text, placement and selected variant

Record the actual reviewer response with the version it references and the scope reviewed. If the response cannot be matched to P03, resolve that ambiguity through the business workflow before production. This example contains no real approval or completed order.

03 / WHICH PERSONALIZED-PRODUCT PROOF DID THE BUYER ACTUALLY APPROVE?

Compare the production file with the approved identity

Once the required approval exists, compare the supplied production artwork against that proof: exact characters, date, line breaks, placement and sale variant. An artwork revision that changes a character or layout needs an explicit review decision under the same process. A matching file name alone does not show matching content.

Keep production-method checks separate. A buyer’s approval of spelling does not certify the supplier’s material, tool path or finish. Use personalized-text proofing for character checks and edit reapproval scope when changes occur after approval.

04 / WHICH PERSONALIZED-PRODUCT PROOF DID THE BUYER ACTUALLY APPROVE?

Keep public examples separate from the order record

A later generated marketing image is a new illustrative asset, even if it resembles P03. It cannot silently replace the approved private proof or authorize a different production file. Use fictional or appropriately authorized public material rather than exposing buyer messages or personal details.

Retain the proof, the matching response and the actual production-file identity with appropriate access. No buyer message, order system, production artwork or approval transaction was accessed or tested for this guide.

QUESTIONS, ANSWERED

Frequently asked questions

Does a requested text change approve the revised proof?

Record the request separately and obtain the review required for the actual revised proof through your business process.

Can a later generated preview replace the approved version?

No silent replacement. Preserve the proof identity and review any material change before production.

Does spelling approval certify engraving finish?

No. State the scope of the proof and obtain separate relevant production evidence.
